This Privacy Policy explains how 9381961 Canada Inc., operating as Officestock ("we", "us"), collects, uses, discloses and protects personal information when you use our website, configurator and chat assistant, visit our locations, or buy from us. We are a commercial furniture supplier and most of the information we handle is business contact and transaction information about our customers' staff. We follow the Personal Information Protection and Electronic Documents Act (PIPEDA) and, where they apply, provincial privacy laws, including Quebec's Act respecting the protection of personal information in the private sector.
1. Who is responsible
We are responsible for the personal information under our control. Our Privacy Officer is accountable for our compliance with this policy and handles questions, access and correction requests, complaints and privacy incidents. You can reach the Privacy Officer:

2. What we collect
- Identity and contact: name, company, job title, email, phone, billing, shipping and pickup addresses, and authorized recipients.
- Orders and accounts: quotes, orders, invoices, payments and credit terms, delivery and pickup records, returns, complaints and warranty claims, and account login details.
- Payment: payment method type, the last digits of a card and transaction details. Full card numbers are handled by our payment processors and are not stored by us.
- Your designs and messages: product configurations, saved builds, files, photos and measurements you provide, chat assistant conversations, voice input you choose to use, and your messages to us.
- Technical: IP address, approximate location (used to choose your region, prices and taxes), device and browser details, pages viewed, and cookie or similar identifiers.
- Safety reports: information about incidents, injuries or damage you report to us about a product.
- Our premises: our locations use video surveillance for safety and security.
We collect information from you directly, automatically when you use our website, and from carriers, payment processors and credit references you authorize. Our website and products are intended for businesses and adults; we do not knowingly collect information from children under 14.
3. Why we use it
- To provide quotes, process and deliver orders, arrange pickup, invoice and collect payment, and manage business credit accounts.
- To provide customer service and handle complaints, returns, warranty and damage claims.
- To trace products and contact you about product safety issues and recalls. Safety and recall notices are sent even if you have unsubscribed from marketing.
- To operate, secure and improve our website, configurator and chat assistant, and to prevent fraud and abuse.
- To show prices, taxes and availability for your region.
- To send marketing messages, only with consent or as the law permits (see section 7).
- To meet legal, tax, accounting, regulatory and insurance obligations, and to establish or defend legal claims.
We use personal information only for the purposes we identified, or for new purposes you consent to or the law permits.
4. Consent
By giving us your information to place an order or make a request, you consent to its use for that purpose. Where information is sensitive or the use would not be reasonably expected, we ask for express consent. If you give us information about other people (for example colleagues or authorized recipients), you confirm you are allowed to do so. You may withdraw consent at any time, subject to legal or contractual limits; if you do, we may be unable to provide some products or services.
5. Who we share it with
We do not sell personal information. We share it only as needed with:
- Service providers acting on our behalf: payment processors, carriers and delivery partners, cloud hosting and storage, email and communications services, bot and fraud protection, and artificial-intelligence service providers that power our chat assistant, search and voice features.
- Manufacturers and suppliers, when needed to fulfil, service or recall a product.
- Professional advisers, insurers and collection agencies, where reasonably needed.
- Authorities, including Health Canada for product safety incidents, when required or permitted by law.
- A buyer or successor in a business transaction, under confidentiality.
Our service providers must protect the information and use it only to provide their services to us.
6. Storage outside your province or Canada
Some of our service providers store or process information outside your province and outside Canada, including in the United States. Information processed in another jurisdiction is subject to the laws of that jurisdiction and may be accessible to its authorities. Before communicating information outside Quebec, we assess whether it will receive adequate protection, as Quebec law requires.
7. Marketing messages
We send commercial electronic messages only with consent or as otherwise permitted by Canada's Anti-Spam Legislation. Every marketing message identifies us and includes an unsubscribe link, and we act on unsubscribe requests within 10 business days. Order, service, safety and recall messages are not marketing.
8. Cookies and similar technologies
- Essential: keep you signed in, hold your cart, remember your region, language and settings, and protect the site from bots and fraud. The site cannot work properly without them.
- Analytics and advertising: where we use them, we do so only with consent where the law requires it. Technologies that identify, locate or profile you are turned off by default for Quebec residents until you agree.
You can block or delete cookies in your browser settings; parts of the site may then not work.
9. Chat assistant and automated tools
Our chat assistant, search and voice features use automated and artificial-intelligence tools to answer questions and suggest products. Do not share sensitive personal information in the chat. Answers are general information and do not bind us (see our Terms and Conditions of Sale). We do not make decisions that produce legal effects about you based only on automated processing; if we ever do, we will tell you and you may ask for a human review.
10. How long we keep it
We keep personal information only as long as needed for the purposes above and to meet legal requirements. Order, invoice and tax records are generally kept for at least seven years. Order and sales records needed for product traceability, and complaint and recall records, are kept for at least ten years so we can contact affected customers about safety issues. When information is no longer needed, we securely destroy or anonymize it.
11. How we protect it
We use administrative, technical and physical safeguards appropriate to the sensitivity of the information, including encryption in transit, access limited to staff who need the information, and secure payment processing. No method of transmission or storage is completely secure.
12. Privacy breaches
If a breach of security safeguards involving your information creates a real risk of significant harm, we will notify you and the Office of the Privacy Commissioner of Canada (and, where applicable, the Commission d'accès à l'information du Québec) as required by law, and we keep a record of every breach.
13. Your rights
You may ask to access the personal information we hold about you, to correct it if it is inaccurate or incomplete, and to withdraw consent. Where the law provides, you may also ask to receive it in a structured, commonly used technological format, or to have it de-indexed or deleted. Send your request in writing to the Privacy Officer (section 1). We respond within 30 days, or tell you if we need more time as the law allows. We may need to confirm your identity. If we refuse a request, we will explain why, subject to legal exceptions.
14. Complaints
Please contact our Privacy Officer first. If you are not satisfied, you may contact the Office of the Privacy Commissioner of Canada or, in Quebec, the Commission d'accès à l'information du Québec.
15. Changes
We may update this policy. The date at the top shows the current version. Significant changes are posted on this page before they take effect.
